Water Damage and Insurance: Documents to Keep

Insurance coverage depends on the policy, exclusions, facts of the loss and other conditions. This page is general information, not a coverage determination or legal advice. Contact your insurer or qualified advisor about your specific situation.

Keep a dated record

Write down when the water was first noticed, what appeared to cause it, who was contacted and what actions were taken. Distinguish what you observed from assumptions about the cause.

Photograph damage when safe

Take wide shots and close-ups of affected rooms and belongings after the area is safe. Avoid touching contaminated materials or entering unsafe areas to get a picture.

Save estimates, invoices and receipts

Keep copies of professional assessments, work authorizations, itemized estimates, receipts and communications. Ask providers for written scopes and note any changes you approve.

Ask about mitigation and approval requirements

Ask your insurer what documentation it needs, which emergency steps are reasonable under your policy and whether it needs to inspect before certain repairs proceed. Do not assume that all work will be covered.

Track conversations

Record the date, the name or department of the person you spoke with and any next steps provided. Keep copies of emails or claim correspondence.

Review the written scope

Before authorizing work, confirm what is included, what is excluded and who will handle separate repairs. Payment responsibility and coverage should be clarified directly with the relevant parties.
